The challenge

The challenge

The client — a leading UAE neo-bank with a mobile-first customer-engagement model — was running a customer-onboarding workflow that was manual and time-consuming and that involved multiple teams and processes. Customers uploaded their KYC-documents through their mobile-application, and the documents were then verified manually by the bank's onboarding-team.

The structural concerns were specific. The manual verification workflow was not only time-consuming but also made it structurally difficult to scale up with the bank's growth trajectory. The neo-bank's competitive positioning depended on the mobile-first customer-experience promising rapid onboarding-to-account-activation, which the manual verification workflow was structurally unable to deliver.

The bank's leadership had aligned on the objective: streamline and automate the customer-onboarding process and enhance the customer-experience by reducing the turn-around-time. The solution had to integrate with the bank's existing Passfort identity-verification platform (a secure identity-verification platform used by financial institutions) which the bank's compliance-and-risk team had already approved for the regulatory-compliance KYC handling.

The approach

The approach

MindMap deployed an onboarding-verification automation platform composed of OnboardX (Ox) for the customer-onboarding workflow, DocuMage (Dm) for the document-data extraction, Workflow Automator (Wa) for the cross-website verification automation, and Multi-Agent Orchestrator (Mo) for the cross-platform workflow coordination.

Phase one was the customer-touchpoint workflow. The customer uploads all the relevant KYC-documents and updates the KYC-information through the bank's mobile application. The mobile-application maintains the structured per-customer onboarding-record that flows into the verification workflow.

Phase two was the Passfort document-acquisition workflow. The bot downloads all the documents that the customer has uploaded into the Passfort application for verification. The bot interacts with Passfort using the platform's standard inbound APIs with the appropriate authentication-and-data-access controls.

Phase three was the document-data extraction workflow. DocuMage extracts the structured data from all the documents using OCR with the appropriate per-field confidence-scoring. The extraction handles the multiple document-types (the passport, the Emirates ID, the residency-visa, the proof-of-address, the per-customer additional-documentation) that the UAE-KYC requirements demand.

Phase four was the online verification workflow. The bot navigates to various verification-websites based on the per-document requirements and extracts data for the structural verification. The verification covers the per-document validity-checks, the per-customer cross-source-validation, and the per-customer regulatory-watchlist checks.

Phase five was the data-validation-and-Passfort-update workflow. The bot validates the data from the two sources (the customer-uploaded document data and the online-verification data) and updates the validation-result back to Passfort for the final verification-decision. The structural-integration with Passfort maintains the regulatory-compliance audit-trail that the bank's risk-and-compliance team requires.

The architecture

The architecture

The platform runs on the bank's managed cloud environment with appropriate UAE-banking-data-handling controls. The integration spans the bank's mobile-application, the Passfort identity-verification platform, the multiple online verification-websites and the bank's risk-and-compliance audit-trail systems.

Workflow Automator's bot handles the multi-system authentication-and-data-access workflow with the appropriate secure-credential-handling per system. The bot runs on a continuous cadence with the per-customer transaction-level processing.

DocuMage's document-data extraction uses OCR with the per-document-type-specific extraction-models. The extraction handles the UAE-specific document-formats (the Emirates ID format, the residency-visa format, the per-Emirate variations) with the appropriate per-document confidence-scoring.

The online verification workflow uses front-end automation against the per-verification-website with the appropriate per-website navigation-and-data-extraction. The verification handles the per-website session-management with the appropriate-timeout-and-retry handling.

The Passfort integration uses Passfort's standard inbound APIs for the document-download and the verification-result-update workflows. The integration maintains the per-customer verification-history with the appropriate-regulatory-audit-trail preservation.

Multi-Agent Orchestrator coordinates the cross-platform workflow with the per-customer lifecycle tracking from the mobile-app-upload through the Passfort-final-verification. The orchestrator handles the parallel-verification where the per-document-and-per-source queries can run in parallel.

The audit trail captures every customer-verification-lifecycle event with the full context preserved for the bank's regulatory-compliance and internal-audit requirements.

The RPA-bot verifies the documents in real-time, reducing the turn-around-time and enhancing the customer-experience. The previous manually-orchestrated verification-workflow that took days has been compressed into the real-time verification workflow that completes in minutes from the customer's document-upload.

Multi-source online-website verification is integrated into the workflow with the structural-cross-source-validation. The previous manual cross-source-validation that absorbed onboarding-team capacity has been substantially automated.

Passfort-integrated verification maintains the regulatory-compliance audit-trail that the bank's risk-and-compliance team requires. The structural-integration preserves the per-customer verification-history with the appropriate-regulatory-audit-trail preservation.

The scalable mobile-uploaded document handling supports the bank's growth-trajectory without proportional growth in the onboarding-team workforce. The per-customer verification-throughput is structurally elastic with the workflow-volume scaling.

Onboarding-team workforce capacity has been redirected from the per-customer verification work to the higher-value customer-engagement work (the per-customer onboarding-experience-management, the per-customer engagement-with-product-and-services, the per-customer relationship-management) that the previous verification workload had been crowding out.

An unexpected outcome: the structured verification-data has supported the bank's risk-analytics work. The per-customer-and-per-document verification-pattern visibility has surfaced fraud-risk-pattern insights that the risk-team is using for the structural fraud-detection-and-prevention work.

Our customer-onboarding workflow was manual and time-consuming and made it difficult to scale up with our growth-trajectory. MindMap delivered real-time document verification with multi-source online-website checks and structural-integration with our Passfort platform — without requiring the KYC-platform replacement that alternative approaches were proposing. The neo-bank had previously evaluated specialist KYC-automation vendors. The vendors proposed KYC-platform-replacement programmes that would have required the bank to migrate off the Passfort platform that the compliance-and-risk team had already approved.
