The challenge

The challenge

The client — the same US senior-living provider — was running an admission process that required substantial admissions-team capacity to orchestrate across multiple incoming-source systems and multiple downstream systems. The incoming-source systems included the healthcare-referral systems (NJSHINE for the state-level healthcare-information-exchange, Epic and Allscripts for the per-hospital referral patterns) and the sales-lead system (Enquire for the prospect-and-marketing-lead intake). The downstream systems included the ADMIT+ admission-documentation software, the EMR/EHR systems (Meditech and Netsmart) and the resident-connect platforms (K4 Connect, Accushield, Vision).

The mechanical workflow had the admissions-team validate the lead-or-referral, create an account in the admission-platform by manually transferring the information captured in the referral-or-lead, manually follow up with the customer to get the necessary information filled in the admission-software, create accounts in the EMR/EHR by manually transferring the details obtained in the admission-platform, and manually update several resident-connect-software instances based on the information in the EMR.

The structural concerns were specific. The per-lead-or-referral workflow had multiple manual-handoffs across the source-and-downstream systems; the per-handoff data-consistency was structurally weak given the manual-keying pattern; and the per-lead cross-system processing-time was substantial which generated delays in the lead-to-admission cycle and the lost-conversion exposure on the time-sensitive leads.

The approach

The approach

MindMap deployed an admission-process automation platform composed of Workflow Automator (Wa) for the cross-system integration, Multi-Agent Orchestrator (Mo) for the lead-to-admission workflow coordination, ChatNext (Cn) for the customer-follow-up workflow, and DocuMage (Dm) for the per-lead-or-referral information-extraction.

Phase one was the source-system intake workflow. The RPA-bot monitors the incoming healthcare-referral systems (NJSHINE, Epic, Allscripts) and the incoming sales-lead system (Enquire) for new leads-or-referrals. The bot validates the per-lead-or-referral against the provider's admission-criteria and creates the corresponding account in the ADMIT+ admission-platform by transferring the information captured in the referral-or-lead.

Phase two was the customer-follow-up workflow. The RPA-bot follows up with the customer through text-or-email (ChatNext-driven) to get the necessary information filled in the admission-software. The follow-up workflow handles the back-and-forth communication that the per-lead information-completion typically requires.

Phase three was the EMR/EHR-creation workflow. The RPA-bot creates the account in the EMR/EHR (Meditech for the skilled-nursing facilities, Netsmart for the assisted-living facilities) by transferring the details obtained in the admission-platform. The cross-platform data-transfer maintains the per-resident identity-and-record-consistency.

Phase four was the resident-connect-platform update workflow. Based on the information in the EMR, the RPA-bot updates all the resident-connect platforms (K4 Connect, Accushield, Vision and the dining-services systems) automatically. The cross-platform updates maintain the per-resident data-consistency across the operational systems.

The architecture

The architecture

The platform runs on the provider's managed cloud environment with appropriate HIPAA-eligible infrastructure. The integration spans the source systems (NJSHINE, Epic, Allscripts, Enquire), the admission-documentation software (ADMIT+), the EMR/EHR systems (Meditech, Netsmart) and the resident-connect platforms (K4 Connect, Accushield, Vision).

Workflow Automator's per-system bots handle the per-system authentication-and-data-access workflow with the appropriate secure-credential-handling per system. The bots run on a continuous cadence with the per-lead-or-referral transaction-level processing.

DocGenie's information-extraction handles the per-lead-or-referral structured-extraction with the per-field confidence scoring. The extraction handles the multiple source-system formats with the unified per-lead canonical-data-representation.

Multi-Agent Orchestrator coordinates the lead-to-admission workflow with the per-lead lifecycle tracking from the source-intake through the EMR-creation and the resident-connect-platform updates. The orchestrator handles the parallel-processing where the per-platform updates can run in parallel.

ChatNext's customer-follow-up workflow handles the per-lead customer-communication with the appropriate communication-channel routing (text or email based on the customer-preference). The workflow supports the back-and-forth communication that the per-lead information-completion typically requires.

The audit trail captures every lead-to-admission lifecycle event with the full context preserved for the HIPAA-and-operational audit requirements.

The end-to-end lead-to-admission workflow has been automated across the source-and-downstream systems. The previous multi-handoff manually-orchestrated workflow has been collapsed into a unified-automated workflow with the structural data-consistency preserved across the systems.

Multiple source-systems and multiple downstream-systems are integrated through the per-system adapter pattern. The platform handles the healthcare-referral systems (NJSHINE, Epic, Allscripts) and the sales-lead system (Enquire) on the intake-side, and the admission-platform (ADMIT+), the EMRs (Meditech, Netsmart) and the resident-connect platforms (K4 Connect, Accushield, Vision) on the downstream-side.

Customer-follow-up has been standardised through the structured-communication workflow. The previous inconsistently-orchestrated customer-follow-up has been replaced with the structured per-lead follow-up that ensures the timely-and-consistent communication.

Per-lead cross-system processing-time has been substantially reduced. The previous multi-handoff manual workflow that absorbed days has been compressed into the automated workflow that completes in minutes-to-hours, materially improving the lead-to-admission cycle and the lead-conversion economics.

Admissions-team workforce capacity has been redirected from the cross-system orchestration work to the higher-value admissions-engagement work (the per-prospect tour-coordination, the per-family transition-management, the per-resident initial-care-planning) that the previous orchestration workload had been crowding out.

An unexpected outcome: the structured admission-data has supported the provider's admission-pattern analytics work. The per-source and per-facility admission-pattern visibility has surfaced operational-improvement insights that the admissions-team is using for the strategic source-relationship management.

The provider had previously evaluated a CRM-platform vendor that proposed a wholesale CRM-platform replacement that would have absorbed the admissions-source-and-downstream-system integration.
